What we know about you, and why.

Who we are

The Oxford Talks Ltd, registered in England and Wales, company number 13643164, registered office Office 1.02 Chester House, 1-3 Brixton Road, London SW9 6DE. Oxford Talks USA Inc., a Delaware corporation, works under the same policy. Where this page says "we", it means both.

We are the controller of the personal data described here.

What we collect

What you give us. When you apply, enquire, or book, you tell us your name, email address, company, city, and what you have in mind. If you give a talk, we hold what is needed to film, publish and pay for it: contact details, a biography, a portrait, and the recording itself.

What the site collects. Pages visited, the device and browser used, and an approximate location derived from your IP address. This comes through cookies and similar tools, listed on the Cookies page.

We do not ask for, and do not want, special-category data such as health, religion or political opinion.

Why we use it

• To answer you. Replying to an application, an enquiry or a booking. Basis: taking steps at your request before a contract.
• To deliver what you asked for. Running the Fellowship, a Circle event, a studio session, or a filmed talk. Basis: performance of a contract.
• To publish talks. An orator's name, portrait, biography and recording appear on this site and on the platforms we publish to. Basis: the agreement each orator signs.
• To understand the site. Which pages are read and where visitors come from, in aggregate. Basis: our legitimate interest in running a site that works, and your consent for non-essential cookies.
• To keep in touch. Occasional news about talks and events, only if you asked for it. You can stop at any time. Basis: consent.

We do not sell personal data. We do not make automated decisions about you.

Who we share it with

The people and services that help us run Oxford Talks, each bound to use data only on our instructions:

• Webflow hosts this site and receives form submissions.
• Google Analytics and Hotjar measure the site. The Cookies page describes them.
• Luma and Stripe take event registration and payment for Circle events.
• Typeform takes applications and studio bookings.
• Notion, ClickUp, Google Workspace, Dropbox hold our own records and files.
• YouTube, Spotify and Apple Podcasts publish the talks and episodes. This site links out to them; it does not embed them, and they do not read data from this site.

Some of these companies are outside the United Kingdom. Where data leaves the UK we rely on the UK's adequacy regulations or the International Data Transfer Agreement.

We will disclose data if the law requires it.

How long we keep it

• Enquiries and applications. 24 months from our last exchange, then deleted.
• Contracts, invoices and orator agreements. 6 years after the relationship ends, as tax and company law require.
• Published talks. For as long as the talk is published. An orator may ask us to take a talk down; see the agreement.
• Analytics. 14 months, then aggregated.

People we contact about our programmes

Who this covers. Senior people at companies who we think may be interested in the Fellowship or our Davos programme.

What we hold. Your name, job title, employer, work email address, LinkedIn profile, business location and public professional information such as your company website, press coverage and funding news. We also keep notes of our conversations with you and, for some emails, whether and when you opened them.

Where it comes from. LinkedIn, company websites, the press, Crunchbase, and the business contact data providers Clay and Lusha, which supply work email addresses. We record the source for each person and tell you it when we first contact you.

Why we use it. To contact you about programmes and events that fit your role. We rely on our legitimate interests in growing our business by offering relevant programmes to senior professionals. We have assessed that this does not override your interests, and we keep contact brief.

Your right to object. You can object at any time to our use of your details for direct marketing. Reply to any of our emails or messages, or write to contact@oxfordtalks.io, and we will stop.

Who sees it. Our team and our service providers: Superhuman (email), folk (contact records), Clay and Lusha (contact data), Notion and Google Workspace. Some are in the US. Where they are, we rely on the UK-US data bridge or the International Data Transfer Agreement.

How long we keep it. If you do not engage with us, we delete your details 12 months after we first contact you. If you object, we keep only your name, email or LinkedIn profile, the date and the reason on a do not contact list, so we never contact you again. We keep that list for as long as we carry out outreach.

Your rights

You can ask us for a copy of the personal data we hold about you, to correct it, to delete it, to restrict or object to how we use it, or to receive it in a portable form. Where we rely on your consent, you can withdraw it at any time.

Write to the address below. We answer within one month. If you are not satisfied, you can complain to the Information Commissioner's Office at ico.org.uk.
